Welcome to Recrutier ("we", "us", or "our"). We are committed to protecting your personal information and your right to privacy. 1. INFORMATION WE COLLECT

We collect personal information that you voluntarily provide to us when you register on the platform, express an interest in obtaining information about us or our products and services, when you participate in activities on the platform or otherwise when you contact us.

The personal information that we collect depends on the context of your interactions with us and the platform, the choices you make and the products and features you use. The personal information we collect may include the following:

  • Personal Information Provided by You: We collect names; phone numbers; email addresses; mailing addresses; job titles; company names; billing addresses; Value Added Tax (VAT/BTW) numbers; usernames; passwords; contact preferences; and other similar information.
  • Information from Google Integration: If you choose to connect your Google account, we may collect profile information for Single Sign-On (SSO), and access your Gmail for email outreach purposes, based on your explicit authorization. The use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
  • Candidate and Job Data: We collect information related to job searching and candidate sourcing, including skills, experience, location preferences, and curriculum vitae (CVs) or resumes that you upload or link.
  • AI-Powered Feature Data: For features like Automatic Contact Detail Extraction and AI-Generated Outreach Messages, our system processes data from profiles, job posts, job descriptions, and candidate profiles to extract contact information (emails, phone numbers, LinkedIn URLs) and generate message content.
  • User Settings and Preferences: We store your application preferences, such as instructions for email and LinkedIn message tone, saved search queries, and tags you create and apply.
  • Usage Data: We collect data about your interactions with our platform, such as features used, outreach campaigns managed, and notifications received.

All personal information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.

2. HOW WE USE YOUR INFORMATION

We use personal information collected via our platform for a variety of business purposes described below. We process your personal information for these purposes in reliance on our legitimate business interests, in order to enter into or perform a contract with you, with your consent, and/or for compliance with our legal obligations.

  • To facilitate account creation and logon process. If you choose to link your account with third-party accounts (such as your Google account), we use the information you allowed us to collect from those third parties to facilitate account creation and logon process for the performance of the contract. See also the section below on Google Integration.
  • To provide and manage your user account.
  • To send administrative information to you. We may use your personal information to send you product, service and new feature information and/or information about changes to our terms, conditions, and policies.
  • To manage your subscriptions and provide services. This includes providing our core features like candidate finding and matching, company management, candidate sourcing, saved searches, tagging, outreach flow management, contact detail extraction, AI message generation, and email sending.
  • To respond to user inquiries/offer support to users. We may use your information to respond to your inquiries and solve any potential issues you might have with the use of our Services. We offer email support and, for higher tiers, phone support.
  • For data analysis purposes. We may use information for data analysis to identify usage trends, determine the effectiveness of our promotional campaigns and to evaluate and improve our platform, products, marketing and your experience. (If you use analytics tools, specify them and how they are used).
  • To protect our Services. We may use your information as part of our efforts to keep our platform safe and secure (for example, for fraud monitoring and prevention).
  • To enforce our terms, conditions and policies for business purposes, to comply with legal and regulatory requirements or in connection with our contract.
  • To respond to legal requests and prevent harm. If we receive a subpoena or other legal request, we may need to inspect the data we hold to determine how to respond.

3. WILL YOUR INFORMATION BE SHARED WITH ANYONE?

We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations.

  • Google User Data: Our use and transfer to any other app of information received from Google Accounts will adhere to Google API Services User Data Policy, including the Limited Use requirements. We do not transfer Google user data to third parties except as necessary to provide or improve user-facing features that are prominent in our application's user interface, for security purposes (e.g., investigating abuse), to comply with applicable laws, or as part of a merger, acquisition, or sale of assets with the user's prior explicit consent. We do not use Google user data for serving advertisements. Humans are not allowed to read Google user data unless we have your affirmative agreement for specific messages, it's necessary for security, to comply with applicable law, or for internal operations on aggregated and anonymized data.
  • Legal Obligations: We may disclose your information where we are legally required to do so in order to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process, such as in response to a court order or a subpoena (including in response to public authorities to meet national security or law enforcement requirements).
  • Vital Interests: We may disclose your information where we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, situations involving potential threats to the safety of any person and illegal activities, or as evidence in litigation in which we are involved.

We do not sell your personal information to third parties.

4. COOKIES AND OTHER TRACKING TECHNOLOGIES

We may use cookies and similar tracking technologies (like web beacons and pixels) to access or store information. Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Policy.

Cookies are small data files stored on your hard drive or in device memory that help us improve our Services and your experience, see which areas and features of our Services are popular, and count visits. Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove or reject browser cookies. 5. HOW LONG DO WE KEEP YOUR INFORMATION?

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible. You have the option to request the reversion of soft-deleted data as per our platform's features.

6. HOW DO WE KEEP YOUR INFORMATION SAFE?

We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our platform is at your own risk. You should only access the platform within a secure environment.

7. YOUR PRIVACY RIGHTS

In some regions (like the European Economic Area (EEA) and United Kingdom (UK)), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; and (iv) if applicable, to data portability. In certain circumstances, you may also have the right to object to the processing of your personal information. To make such a request, please use the contact details provided below. We will consider and act upon any request in accordance with applicable data protection laws.

If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. Please note however that this will not affect the lawfulness of the processing before its withdrawal, nor will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Account Information: You may at any time review or change the information in your account or terminate your account by:

  • Logging into your account settings and updating your user account.
  • Contacting us using the contact information provided.

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our Terms of Use and/or comply with legal requirements.

9. CHILDREN'S PRIVACY

Our Services are not directed to individuals under the age of 16 (or other age as required by local law), and we do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will take steps to delete such information. 10. CHANGES TO THIS PRIVACY POLICY

We may update this privacy notice from time to time. The updated version will be indicated by an updated “Last Updated” date and the updated version will be effective as soon as it is accessible. If we make material changes to this privacy notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy notice frequently to be informed of how we are protecting your information.
